The Office Administrator is a multi-purpose role designed to drive efficiency across office operations, the Shared Service Center, Financial and internal HR functions. This role oversees the daily management of the office environment—including inventory control, supply procurement, and facility upkeep—to ensure a productive and organized workspace. Simultaneously, this role serves as a critical resource within the Shared Service Center, executing standardized administrative tasks for various departments while providing specialized part-time HR support for the Eindhoven office. As Office Administrator, you will be asked to dedicate a number of hours per week on internal HR tasks, as well as supporting the MD of the BV with reporting and office duties.

Responsibilities:

  • Handles administrative tasks, including the setup of the key system and assistance in onboarding new employees and clients.
  • Manages databases and ensures accurate data entry, handling photocopying, scanning, and tax setups.
  • Handles phone calls, takes messages, and forwards calls to appropriate team members or clients.
  • Receives and processes incoming mail (including mail delivered in our New York or Houston offices, where needed) and documents and notifies clients of their receipt.
  • Utilizes various software and tools, such as Google Suite, Microsoft Office, Adobe, DocuSign, Insightly (CRM), Citrix ShareFil,, QuickBooks, Vonage, and Zoom/Teams for online meetings.
  • Provides exceptional customer service and sales support to clients.
  • Completing administrative functions within the Shared Services Center for TABS departments, such as Finance, Payroll, HR, Business Development, and Governance.
  • Repetitive duties such as data entry and word processing.
  • Standardize work processes in the Shared Services Center to create efficiency.
  • Other job duties as required within the Shared Services Center.
  • Assist with the physical logistics of onboarding new hires, including workstation setup, key system management, and distributing welcome materials.
  • Assist with maintaining internal employee files, tracking compliance documents, and supporting the HR department with internal communications.
  • Assist in the coordination of internal team events and employee recognition programs.
  • Serve as the "eyes and ears" for the HR department in the Eindhoven office, providing a local presence.
  • Assist with internal HR administrative tasks such as creation of employment contracts or extension agreements, help translating company-wide policies, as well as help coordinate local team-building events while maintaining strict confidentiality of employee data.
  • Maintain a professional office environment; manage office supplies, key systems, and vendor access.
  • Assist the Managing Director with financial data gathering and internal financial tasks.
  • Coordinate with the Managing Director of the Eindhoven office to make sure office functions are carried out.

Job Qualifications and Skill Sets

  • High school diploma as a minimum educational requirement. Post-secondary coursework in Business Administration, Finance or Human Resources is a plus.
  • 2+ years of administrative experience in a professional office setting.
  • Experience handling sensitive data is highly preferred.
  • Punctual and reliable.
  • Self-starter capable of working independently and as part of a team.
  • Strong communication skills, demonstrated in both verbal and written forms.
  • A high degree of professional ethics and the ability to maintain absolute confidentiality regarding internal HR and client financial data.
  • Mastery of Google Workspace (Docs, Sheets, Drive). Ability to quickly learn and navigate specialized software such as Insightly (CRM), time tracking software, and ShareFile.
  • Excellent organization and time management skills are showcased.
  • Ability to prioritize tasks based on urgency and importance.
  • Demonstrates meticulous attention to detail and proficient problem-solving abilities.
  • Adaptability and an eagerness to learn new tools and software.
  • Proficient in multitasking and overseeing multiple projects.
  • Demonstrates excellent verbal and written communication skills, both over the phone and in person.
  • Fluent in Dutch and English is required

Salary: €2.800 - €3.200 per month based on Full-Time work

Schedule:

  • Monday to Friday (hybrid)
  • Working hours are flexible between 8:00 AM to 6 PM, with a 30-minute lunch break in between.
  • Your time will be split between two core functions: 70% of your time is dedicated to Office Administration and Shared Service Center duties. 30% of your time is dedicated to internal HR or Finance duties.
